Swim Academy Policies

BDA Payment Policies apply to swim academy and swim team.

GENERAL POLICY
  • Please check-in with the pool staff and notify them your lesson is with Blue Dolphins Aquatics.
  • For lessons at 02 Fitness, all families will need to turn in a signed copy of the 02 Fitness Waiver.
  • Your BDA fees only cover the time the STUDENT is in the water for the lesson.  Visitor policies for the pools are as follows:
    • Homestead Aquatic Center & Chapel Hill Community Center – BDA students (other than lesson time) & those accompanying the student may swim before, during or after the lesson as long as the pool has scheduled open swim and each swimmer pays the town facility usage fee
    • 02 Fitness – BDA students and their family may NOT swim before, during or after the student’s lesson
    • Parkwood Swim Club – BDA students and their family may swim for up to four hours during or after the student’s lesson at a rate of $5 per swimmer
    • Parkwood Village Pool – BDA students and their family may swim during or after the student’s lessons at a rate of $5 per swimmer
    • Brightleaf Club - You must be a club member to take lessons at the pool.  Members can swim before, during or after the lesson in accordance with the club rules
    • Other Neighborhood Pools – You must live in the neighborhood to take lessons at the pool. Residents can swim before, during or after the lesson in accordance with their neighborhood pool rules.
  • Please remain with your child until he/she is in the water with the instructor - do not send children into the facility or pool unaccompanied. 
  • Students not potty trained must wear a swim diaper in the water.
  • Please be ready on the pool deck 5 minutes before your lesson start time.
  • Please remember that we are guests of the facilities - please obey all facility rules, lifeguards and staff. 
  • BDA reserves the right to refuse services at any time at our discretion.  This includes, but is not limited to, non-payment by the client and physical, verbal or other abuse by students or parents towards BDA staff. 

INSTRUCTOR ABSENCE
If a substitute instructor is available for the lesson:
  • BDA will make the instructor change and notify the customer
  • the lesson fee will remain on the account 
  • a student absence due to an instructor change is considered a Student Absence (outlined below)
If no substitute instructor is available for the lesson: 
  • the lesson fee will be deleted from the account
  • if the lesson fee was paid, that amount will be applied to unpaid fees or a credit balance will remain on the account
  • BDA does not offer make-ups for cancelled lessons – at your request, we can add an additional lesson at the current rate
     
INCLEMENT WEATHER/POOL CLOSURES
  • Please note - rain does not a cancel lesson. Part or all of a lesson may be cancelled for thunder and/or lightning. 
  • If a lesson is cancelled due to pool closure, 
    • the lesson fee will be deleted from your account and
    • if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account.
  • If pool and instructor availability allow, BDA will offer additional lesson opportunities at the current lesson rate.
  • Partial lesson credit is applied to the account for an incomplete lesson due to inclement weather or pool closure.
    The amount of lesson credit is dependent on the lesson time completed and the lesson cost.
  • A lesson is considered complete when a student completes:
    • 15 minutes of a 30-minute lesson (if less than 15 minutes is complete then the lesson fee will be deleted from your account)
    • 30 minutes of a 45-minute lesson (if less than 30 minutes is complete a partial credit will be applied to your account)
    • 45 minutes of a 60-minute lesson (if less than 45 minutes is complete a partial credit will be applied to your account)

CANCELLATION REQUESTS / STUDENT ABSENCE

 
GENERAL POLICY
  • A cancellation request communicated only to the instructor is considered a student absence; instructors do not handle scheduling.
 
  • Lessons missed due to no shows, injury, sickness, family emergency or a student not participating in a lesson follow the policies below
  • All requests to cancel lessons must be emailed to: 
  • If the student has a fever or may be getting sick, please cancel the lesson to help keep our instructors and other students healthy.
  • BDA does not offer make-ups for student absences – at your request, we can add an additional lesson at the current rate. 
Cancellation Requests for Private and Family Lessons:
If the cancellation request is received 14 days or less in advance of the scheduled lesson date, the lesson is considered a student absence and
  • the lesson fee will remain on the account
  • NO CREDIT or REFUND will be issued
  • at your email request, another family member may take the scheduled lesson instead of the currently enrolled student (he/she must be registered and his/her annual fee must be up-to-date or will be billed in addition)
If the cancellation request is received at least 15 days in advance of the schedule lesson date, the lesson will be cancelled and
  • the lesson fee will be deleted from the account
  • if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account

Cancellation Requests for Semi-Private Lessons:   
If the cancellation request is foone or both students and received 14 days or less in advance of the scheduled lesson date, the lesson is considered a student absence for one or both students and
  • the lesson fee will remain on the account(s)
  • NO CREDIT or REFUND will be issued 
  • the non-cancelling party still pays the semi-private rate for that lesson 
If the cancellation request is for one or both of the students and received at least 15 days in advance of the scheduled lesson date, the lesson will be cancelled for the requesting party(ies) and
  • the lesson fee will be deleted from the cancelling account(s)
  • if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account(s)
  • if only one party requests to cancel at least 15 days in advance of the scheduled lesson date, BDA will contact the second party to confirm converting to a private lesson at the current private lesson rate or cancelling the lesson

Cancellation Requests for Create-Your-Own Group Lessons:   
If the cancellation request is for one or more students and received 14 days or less in advance of the scheduled lesson date, the lesson is considered a student absence for one or more students and
  • the lesson fee will remain on the account(s)
  • NO CREDIT or REFUND will be issued 
  • the non-cancelling parties still pay the group rate for the lesson
If the cancellation request is for one or more of the students and received at least 15 days in advance of the scheduled lesson date, the lesson will be cancelled for the requesting party(ies) and
  • the lesson fee will be deleted from the cancelling account(s)
  • if paid, that amount will be applied to unpaid fees or a credit balance will remain on the account(s)
  • if one or more parties requests to cancel at least 15 days in advance of the scheduled lesson date and only one or two students are left in the class, BDA will contact those parties to confirm if they want to convert to a private or semi-private lesson at the current private and semi-private lesson rates or cancel the lesson

Cancellation Requests for Traditional Group (session style) Lessons:
Please notify us (email addresses above) if your student will miss a group lesson so we can inform the instructor. 
Missing a group lesson cannot financially penalize other group members.  Therefore:
  • a missed group lesson is considered a student absence and no make-up will be offered
  • the lesson fee will remain on the account for any group lesson missed
  • NO CREDIT or REFUND will be issued for any group lesson missed
  • all other parties still pay the group lesson rate if any party misses the lesson
The only time a cancellation is allowed is if you are cancelling for the entire session and your cancellation request is received at least 15 days in advance of the first scheduled lesson.  

If a swimmer is signed up for an incorrect level, BDA will move the swimmer to the proper level should space be available in the current session.  If no space is available in the current session, NO CREDIT or REFUND will be issued.
