Swim Academy Policies

General

  • Please check in with the pool staff and notify them your lesson is with Blue Dolphins Aquatics. 
  • Your BDA fees only cover the time the STUDENT is in the water for the lesson.  Visitor policies for the pools are as follows:
    • Homestead Aquatic Center & Chapel Hill Community Center - After paying the town facility usage fee, BDA students and those accompanying the student may swim before, during or after the lesson as long as the pool has scheduled open swim.
    • Parkwood Swim Club – BDA students and their family may swim for up to four hours during or after the student’s lesson at a rate of $5 per swimmer
    • O2 Fitness does not allow others to swim before, during or after the lesson
    • Brightleaf Club - You must be a club member to take lessons at the pool 
    • Neighborhood Pools – You must live in the neighborhood to take lessons at the pool
  • Please remain with your child until he/she is in the water with the instructor - do not send children into the facility unaccompanied.
  • Students not potty trained must wear a swim diaper in the water.
  • Please be ready on the pool deck 5 minutes before your lesson start time.
  • All facility rules, lifeguards, and staff must be obeyed by all swimmers and visitors on deck.
  • Physical, verbal, abuse of any kind towards the coach/staff/other swimmers by a swimmer or parent will result in termination of further participation on the swim team without a refund or credit.  This includes bullying, generally defined as the use of aggression, whether intentional or not, which hurts another person.
  • All instructors, coaches and staff of Blue Dolphins Aquatics are committed to integrity in electronic communication with athletes.  All communication from a coach or staff member to an athlete would be equally appropriate and acceptable in a face-to-face meeting in front of the athlete’s parents, the coaching staff or other athletes.
  • BDA reserves the right to refuse services at any time, at our discretion. This includes, but is not limited to, non-payment by client and physical, verbal or other abuse by students or parents towards BDA staff. 

 

Payment and Late Fees                                         

  • BDA requires a non-refundable annual insurance/registration fee of $20 per student.
  • BDA invoices:
    • Monthly (on or around the 12th) for lessons during the upcoming month
    • Upon scheduling additional lessons during the current month  
  • Payment is due on the 25th of the month for the upcoming month's lessons (i.e. BDA invoices in advance). 
  • For lessons scheduled during the current month:
    • Payment is due upon receipt of invoice for new clients. The receipt date is recorded as the date the BDA invoice was sent via the BDA software
    • Lesson fees may be added to the next monthly invoice for existing clients in good standing
  • A $10 late fee will be added to the account if payment due is not received before the 1st of the month. 
  • BDA accepts payment via ACH transfer and by mailing in checks (do not bring payment to a lesson).
  • BDA reserves the right to refuse services if payment is not received.

 

Lesson Cancellations

  • Partial lesson credit is issued for an incomplete lesson due to inclement weather or a pool closure. 
     A lesson is considered complete if the student completes:
    • 15 minutes of a 30-minute lesson
    • 25 minutes of a 45-minutes lesson
    • 40 minutes of a 60-minute lesson
  • If the instructor is unavailable for a lesson:
    • BDA will notify customers by email, text and, if time permits, by phone
    • If a substitute instructor is available, BDA will make the instructor change and the standard cancellation policy applies
    • If a substitute instructor is not available, BDA will cancel the lesson 
  • If a lesson is cancelled by BDA or a pool closure:
    • if unpaid, the lesson fee will be deleted from your account
    • if paid, that amount will be applied to unpaid fees or a credit will remain on the account
  • If the student is late to a lesson or refuses to participate:
    • the lesson will still end at the scheduled time
    • the missed time will not be made-up or the lesson considered incomplete
    • the lesson fee is still due
  • All requests to cancel lessons must be emailed to:
  • Please do NOT communicate a cancellation request only to the instructor
  • BDA does not offer make-ups for cancelled lessons – at your request, we can add an additional lesson at the current rate
  • Private and Family Lessons:
    • If the cancellation request is received at least 15 days in advance of the scheduled lesson date, the lesson will be cancelled and
      • if unpaid, the lesson fee will be deleted from your account
      • if paid, that amount will be applied to unpaid fees or a credit will remain on the account
    • If the cancellation request is received 14 days or less in advance of the scheduled lesson date, the lesson is considered cancelled by the student and
      • there will be NO CREDIT or REFUND issued
      •  payment is still due if unpaid
      • this includes, but is not limited to, lessons that will be missed due to injury, sickness and family emergencies
  •  Semi-Private Lessons:
    •  If the cancellation request is for one student and received at least 15 days in advance of the scheduled lesson date, the second party will need to either 
      • request to cancel that lesson as well - or -
      • upgrade to a private lesson at the private lesson rate
    • If the cancellation request is for both students and received at least 15 days in advance of the scheduled lesson date, the lesson will be cancelled and
      • if unpaid, the lesson fee will be deleted from both accounts
      • if paid, that amount will be applied to unpaid fees or a credit will remain on the account
    • If the cancellation request is for one student and received 14 days or less in advance of the scheduled lesson date
      • there will be NO CREDIT or REFUND for the student cancelling
      • the second party still pays the semi-private rate
      • this includes, but is not limited to, lessons that will be missed due to injury, sickness and family emergencies
  • Group Lessons:
    • At this point in time BDA does not offer group lessons (except during the summer months)
    • We will update this portion of the policy for the summer of 2018

 

Flu/Sickness Information
Thank you for your assistance in keeping our instructors healthy and able to continue teaching quality lessons!

  • If your child has a fever, he/she should not come to a lesson until the fever has been gone for at least 24 hours (without fever-reducing medicine). 
  • If you think your child may be getting sick, please err on the side of caution and keep your child home.
  • If you need to cancel a lesson due to sickness, please refer to the cancellation policies above.
